Paying Bills in Batches
Paying bills one at a time is inefficient. Here’s how to set up a batch payment process in Xero that saves time and improves cash flow visibility.
How to Use Xero Batch Payments to Save Time and Stay on Top of Bills
As the volume of bills increases, paying them individually starts to eat into your time and your headspace. A batch payment process in Xero solves this.
Here’s how it works in practice:
-
Enter bills into Xero as they arrive and approve them. Do this daily or weekly — don’t let them pile up.
-
Once a week, review what’s been loaded and check whether your cash flow can cover all of them.
-
Use the Batch Payment function in Xero to select which bills to pay, confirm bank account details, and add payment references.
-
Export the batch file and upload it to your bank for payment.
Xero saves your supplier bank account details once they’ve been entered, so you won’t need to re-enter them each time.
The benefit isn’t just time — it’s visibility. When you’re paying bills this way, you’re forced to look at your cash position each week before you pay. That discipline alone can prevent a lot of cash flow surprises.
